Billing model: A flat monthly base fee covers the plan features and a base seat count. Additional seats are billed per seat beyond the included allotment. Four usage meters track AI calls, SMS messages, video processing, and storage — each meter has a monthly included allowance, and overages are billed at a per-unit rate.

The SMS meter is flagged with a warning indicator at 81% usage with 10 days remaining in the billing cycle. The account owner receives an alert when any meter reaches 80% of its included allotment.
Invoice Estimate
The invoice estimate updates daily and shows the projected charge for the current billing cycle based on confirmed costs (base + seats) and usage-to-date.

Seat Counting Rules
Seats are counted at the account level, not per team.
- 1 user = 1 seat — a user who belongs to three teams still counts as one seat total
- Owner always counts as 1 seat — the account owner cannot be deactivated without transferring ownership first
- Viewer = 0.5 seats — the Viewer role is billed at half a seat to reflect its read-only, zero-action access
- Deactivated users = 0 seats — deactivating a user immediately frees their seat; their historical data is retained
- Pending invites count — invited users who haven't accepted yet reserve a full seat immediately; the seat is released if the invite expires without being accepted
- Real-time seat count — current seat usage is always visible in Settings → Billing → Seat Usage

All invoices are available as PDF downloads. Invoices are sent to the billing email address on the first of each month.
Plan Changes

When downgrading, if the account's current seat count exceeds the new plan's included seat count, the contractor must deactivate excess users before the downgrade takes effect. Data from deactivated users is retained.
Payment Methods
- Credit / Debit card — accepted on all plans
- ACH bank transfer — available on Business plan only
- Invoiced billing — available on Business plan with an annual or two-year commitment
Payment method is updated under Settings → Billing → Payment Method. Only the account Owner can change billing information.
Free Trial
Every new account starts with a 14-day free trial — full access to all features on the Professional plan, no credit card required to start.
- Trial end: Account enters a locked state. All data is preserved. Contractor receives email prompts to select a plan.
- 30-day data hold: If no plan is selected within 30 days of trial end, the account enters archive state. Data remains intact but inaccessible.
- 90-day total window: If no plan is selected within 90 days of trial end, the account and all associated data are permanently deleted. This deadline is communicated clearly in advance.
A trial can be converted to a paid plan at any time during the 14-day window — the billing cycle starts from the conversion date, not the trial start date.
